Virtual bookkeeper

A virtual assistant can specialise as a virtual bookkeeper. This is a very popular niche area of business for virtual assistants.

Small and micro business owners are the first to realise the advantages of virtual bookkeeping. They don't have the time or staff or resources or space for an onsite bookkeeper and succesfully outsource this job to a virtual assistant.

The only difference is that the business owner has to send the data to you via either email, snail mail, fax, courier or you can pick up and drop off to local businesses.

You of course need to be familiar with the specific accounting software that your client is using (or you can pick up a new package quite easily). One of my clients was great and just filed away all his invoices for me to pick up and enter into his software accordingly, which I did from my home office. Then I used to email the file once I had finished inputting the information, etc.

You may return the receipts or your client may prefer that you hold on to them until tax time, this is sorted out between you and your client.

You may also be asked to prepare specific quarterly, yearly reports, depending on where you live in the world and according to country specific requirements.

There are certain areas that a bookkeeper should not delve into, so please check with your local accountant, as some work may fall under the accountant umbrella, not to be performed by a bookkeeper I believe. (This is not my niche area).

You have to make sure that you don't lose data and back it up accordingly, even saving it to CD for the client.

Some clients may allow you access to their online accounts or they may prefer to send you printed out statements to work from. Each client is different. You may also be required to sign a confidentiality agreement, which is advisable and piece of mind for the client.

Benefits of using a virtual bookkeeper

  • Reducing overhead and operating costs for client as no inhouse bookkeeper required, frees up space, desk, etc or no space is now needed
  • Freeing up resources for client
  • Getting access to specialized skills and only paying for work completed
  • Saving on manpower and training costs
  • Client not having to update himself with technology, avoid software and hardware upgrades

  • Companies that use the services of virtual bookkeepers

I will update this list with any virtual bookkeeping positions that I can find or companies that outsource to virtual bookkeepers.
